Last updated October 14, 2026
This notice covers the Quilia provider directory at directory.quilia.com, operated by Record System, Inc. ("Quilia," "we" or "us"). It adds to the Quilia Privacy Policy, which also applies to the directory. Where this notice is more specific, it describes what the directory does.
1. The short version
A listing shows a provider's business information, never anything about a patient. What a practice keeps in its directory account (its patients, the law firms it works with, what it billed and was paid, and its notes) is private to that practice. It is never on the public listing, never shown to law firms or patients, and never sold.
2. Public listings
A listing shows a provider's name, practice, address, phone, hours, specialties, NPI number, the badges explained on How the directory works, and client ratings under the rules in our terms of use. Listings are built from records of where personal injury clients treat, the federal NPI registry, public business data, and what providers tell us.
A listing never shows a patient's name or any information about a patient, and never names the law firms that send a provider patients.
3. Provider accounts
To claim a listing we collect your name, email, and the practice phone number you verify by text or call. We use them to run your account, confirm you speak for the practice, and contact you about the directory.
4. What your practice keeps here
- Patients you add, import or confirm: name, date of birth, phone
- The law firms you work with and your contacts there
- Each lien: signed date, billed, reduction, paid and status
- Visit dates, upcoming appointments, notes and follow-up dates
Only people your practice adds to its account can see this. Law firms and patients do not see your balances, your notes or your firm list. Quilia staff can open your account only to support you.
Appointments you share are the exception. When you share a visit or an upcoming appointment for a patient who is on Quilia, its date shows in that patient's Quilia app and with their law firm, so everyone keeps the same record. Appointments you don't share, and every appointment for a patient you added yourself, stay with you.
It works the other way too. When a firm on Quilia sends you a patient, you see who the patient is and which firm sent them, and nothing else from the firm's case.
5. Law firms you add
When you add a law firm that isn't on Quilia yet, we may contact that firm about Quilia. We do not tell the firm that you added it, and we never share anything about your patients or what they owe you.
6. What we never do
- Sell your data or your patients' data
- Send patients to a provider or away from one for a fee
- Show ads or charge for placement in the directory
7. Cookies and analytics
Public directory pages use analytics and advertising tags, which you can turn off under Your Privacy Choices. Signed-in pages, where practice data lives, do not load advertising tags. We record errors to keep the directory working.
8. Security, HIPAA and your BAA
Your data is encrypted in transit and at rest, and access is limited to your practice's account. We sign a Business Associate Agreement with medical providers. Read how we handle HIPAA on our HIPAA compliance page, or email support@quilia.com to request one.
9. Your choices
You can edit your listing and everything in your account at any time. To correct or remove a listing, or to close your account, use our contact form. Your rights under state privacy laws are described in the Quilia Privacy Policy.
10. Changes and contact
When we update this notice, we change the date at the top of this page. Record System, Inc., 817 S Main St, Las Vegas, NV 89101. To reach us about the directory, use our contact form.
